Association of Municipal Administrators, Nova Scotia (hereafter referred to as “AMANS”).
The purpose of this policy is to provide guidelines and establish procedures for all cancellations, refunds and returns for AMANS events.
To ensure that workshop and conference cancellations and refund requests are reviewed appropriately and applied consistently throughout AMANS to all registrants.
This policy applies to all who register for AMANS conferences, workshops, trainings, or education modules (henceforth referred to as an “event”).
AMANS reserves the right to cancel or reschedule events at any time if there are an insufficient number of registrations to run an event. Registrants will be notified no less than two calendar weeks in advance.
If a registrant fails to acknowledge cancellation and travels to the event, AMANS is not responsible for any travel arrangements, travel fees, or any expenses incurred by the registered participant or municipality as a result of such cancellation.
Registrants will be automatically enrolled in the next event of equal value. If a registrant is unable to attend the alternate date, a full refund will be issued.
If a registrant cannot attend an AMANS event, they must notify AMANS in writing at least two calendar weeks prior to the event start date to receive a full refund less a $20.00 administration fee.
If a registrant cannot attend an AMANS event and notifies AMANS less than two calendar weeks prior to the event start, the registrant forfeits their registration fee. However, the registrant can transfer their registration to another person up until the start of the event.
If a registrant cannot attend an AMANS event and fails to notify AMANS prior to the start date of the workshop, no refund or credit will be provided.
Note: Extenuating circumstances are handled on a case-by-case basis by the AMANS Executive Director. It is the responsibility of the registrant to notify AMANS in writing of any extenuating circumstances which would prohibit attendance. Extenuating circumstances is defined as significant life events, including but not limited to serious illness/injury of self or an immediate family member, death of a close family member, or victim of a crime.
AMANS recognizes that scheduled events may need to be cancelled due to weather conditions. However, due to the complexity and time constraints of scheduling trainings, weather cancellations will be avoided if possible.
If it is apparent (e.g., announced school closings, public transit pulled off, road closings, etc.) the day before the scheduled event that inclement weather will likely prohibit the registrants and/or the facilitators from attending, AMANS will reschedule.
Upon cancellation, AMANS will make reasonable efforts to contact registrants at the email address or phone number provided when registering.
It is the responsibility of the registrant to ensure they provide a valid e-mail address and phone number.
If registrants are unable to attend the rescheduled event, the municipality will receive credit toward another scheduled similar event in the future. Refunds will not be issued.
Once the event is underway (the first day has begun), including but not limited to, the event venue is still available (i.e., open) and the facilitator is on-site, the remainder of the event will be conducted as scheduled. It is expected that the participants will make the necessary arrangements to attend.
Despite this travel policy, the decision to travel to and from AMANS events under any conditions, including inclement weather, is the sole responsibility of the participant. AMANS accepts no liability or responsibility for the travel decisions of participants.
Rescheduling due to inclement weather will be evaluated on business days only.
At a minimum, this policy shall be reviewed every three years from the most recent date of approval.
